Growth And Efficiency

It’s always a good idea to take some time to reflect on your future business goals and adjust according to the economic climate or changes in personal circumstances.

You may find that improving the efficiency of your team is a good business goal and why wouldn’t it be? Investing in their well-being and streamlining work, will help them as much as it will help grow your business.

Do you look at the tools you and your team use daily and decide if they still work for you?

We are all human and we can make the mistake of ‘coming back to…’ a subject later, only to forget to do so!

That said, it really is important to take the time to ask questions like, how can I improve on efficiency?

Taking time to reflect on how efficiently your practice is run, can help to highlight ways in which simple tweaks could help your practice grow.

For example: If you have a MidexPRO Account, how familiar are you with all the tools available to you? We add new tools and add integration throughout the year and although we send information to all Users, often new functions are missed, and this could be costing you money and time.

We spoke to Carly Silvester who is a Medical Secretary for an Orthopaedic surgeon in Jersey about how using the SMS/Text service has helped with their clinic’s efficiency. Carly said ‘We suffered like many other clinics, with ‘did not attend’ appointments for years until we started using SMS reminders linked to diary appointments.

Before using SMS, I had to call and remind patients of appointments, often not getting through to speak to them. Since using SMS reminders sent via MidexPRO to the patients automatically, we now have very few missed appointments. The SMS acts as a reminder to attend and to cancel an appointment (just as important) freeing up the time for someone else. This has really helped save my admin time and money in missed appointments.’

Using Text messaging (SMS) to remind clients of future appointments helped Carly and many other Accounts reduce no-shows. No need for telephone calls or letter reminders which cost more than setting up SMS to automate messages 24/48 hours prior to attendance.

Do you use the payment facility integrated within the software?

Tracy Brimmell, Medical PA in a Psychiatric Clinic, does and said, ‘It’s so easy to take payments from within the MidexPRO system or encourage patients to pay for a service using the online Portal service. It’s so much faster and easier to collect payments and reduces the need to use a separate card machine.’

Other benefits include – You do not need to have expensive card terminals as patients can book in advance and pay for treatments or appointments 24/7 – 365 days a year. Transactions are taken and updated on the patient’s page, invoice/receipts are automatically sent to the client, reducing duplication of the process.

You can also take advantage of the MidexPRO Payment Link facility that allows you to send a payment link to a patient that allows them to pay without having to call. You can send this link out on emails and SMS messages and even include it in places like your website or email signatures.

How efficient is your Patient Scheduling?

When was the last time you reviewed how much time you need to set aside for seeing a patient? Could it be adjusted, or perhaps you could benefit from using the video integration tool, Whereby to speak to clients?

Do you spend a lot of time entering new patient/client data?

Why not use an office iPad and ask the clients to input the data themselves? You will reduce the number of human errors which can occur like spelling mistakes and incorrect email addresses. Asking the patient to do it themselves will help ensure the data you capture, is correct and useful to you in the future. Read the link to explain more.
