We all know the importance of keeping our computer screens, keyboards and mice clean, but how often do we clean up the files and records we hold?
Many businesses, over a period, will have changes in personnel. Each person works in a slightly different way and this in turn can lead to repetition of process and duplication of data, especially if the right training has not been provided.
We understand from our clients that it is no different in the medical world, where Consultants and Clinicians may have employed several secretaries and/or executive personal assistants.
At MidexPRO we recommend all new users arrange a system walkthrough with us. This can be done by contacting our Support Desk, who will provide training on the current system, which may have evolved since the last user received their training.
We have noted over the years that if training has not been given directly to a new user by our Support team, processes handed down internally may be incorrect or diluted and new functions are not known. This can slow down the workflow and result in inaccurate reports and data.
The MidexPRO Support Team regularly receives queries relating to duplication issues, when a new user notes an abundance of the same information listed in various ways or they have the same patient added many times. For example, in Prescriptions – how many times have you seen the same thing written in different ways?

When all that is needed is:

Now for the good news…
The MidexPRO Private Practice Management Software System has a ‘deduplication’ function available in the Maintenance section.
Like all MidexPRO functionality it is very easy to use. Simply click the ‘De-duplication’ button and select the area you wish to de-dupe, i.e. GPs, Patients, Drugs etc.
Next, choose which of the original items you wish to keep, and you will be offered the option to merge all duplicates into that ‘original’ item, reducing the multiple versions of the same data.

Practices like de-duplication, decluttering, and deleting can significantly speed up your PC, streamline tasks, and boost overall workflow.
Clearing space on computers
This process may seem daunting, but if done in date order with oldest ones first – you can decide if you need the information before hitting the delete button.
Key areas to focus on are:
- Temporary Files: Run Disk Cleanup (Windows) to remove temporary files, system files, and other unnecessary data.
- Downloaded Files: Regularly clean your Downloads folder, deleting or moving files you no longer need.
- Browser Cache: Clear your browser’s cache to remove stored website data.
- Recycle Bin: Empty your Recycle Bin to permanently delete files.
- Large Files: Identify and remove or move large files (videos, etc.) that you don’t need frequently.
Purging data
Remember, if you have old accounts or patients still listed on your Account and you no longer need to keep the information (please check the legal rules pertaining to data retention) you could also free up space and speed up searches by Purging old data from MidexPRO. If you wish to take this course of action, a Purge document can be found in the ‘legal’ section on the Navigation bar in MidexPRO.
