The Support Team is often asked the question ‘What is the difference between Users and Licences when it comes to accessing MidexPRO?’
They also receive urgent emails and calls from Users when they are unable to log in and the issues is often linked to that question.
The following two points below helps to answer this and offers tips on the best ways to avoid Access issues and help to avoid unnecessary charges.
Users and Licences: the difference
A User is anyone who you need to Access your data for work-related reasons: sending letters to patients or invoicing information etc. Users are completely free to add to any MidexPRO system and you can have as many Users, on any given MidexPRO system.
Licenses are chargeable and relate to how many people can access MidexPRO to view the data held at the same time.
For Example: If you have 1 License, only 1 User can be logged in to the MidexPRO system to view data, at any one time. The more Licenses you have, the more Users can be logged in concurrently.
Some Accounts in MidexPRO have one or two Licenses but multiple Users. The reason for this is that some people work part-time or Access the system at different times, in the evening or different parts of the day.
For that reason, you may find 1 or 2 Licences work perfectly well. However, if you have multiple Practices and multiple secretaries working over many sites, the likelihood is, you may require more Licences made available to access your data helping to avoid reduced productivity.
Extra Licenses have an upfront cost and a subsequent monthly fee (per Licence) which is added to your monthly Direct Debit. You can speak to Support on 0330 999 3399 should you require more information or wish to discuss potential ‘need’ for concurrent Access.
Logging Out Correctly: Save extra costs.
Where we can, we try not to sell you extra Licenses as often, they are not needed.
Why? Because the biggest problem we find when Users cannot log in, is when another User in the Account has not logged out correctly – effectively, they continue to hold onto the Licence and therefore stop ‘you’ from gaining access.
Best Practice – remind those who have Access to your MidexPRO system, to exit the system correctly using the ‘Log Out’ button found at the top and bottom of the Navigation bar on the MidexPRO Dashboard.
This will help to avoid future frustrations by you or others trying to work and will reduce the need to purchase more Licences.
Remember: If you simply close the Browser on your PC or device, this will not stop the Licence from being taken. Using the ‘Log Out’ buttons to release the Licence(s) for others to use.
