Good question! I recently saw an email asking this very question from a client who contacted MidexPRO regarding a migration of data over to our PPM system.
The client had had a demonstration of the system with a member of my Support team Dan and was shown all the features and integrations available to them. They remarked at how good the offering was but then sent a further email with this question.
What does the cost of a Practice Management System cover?
Interestingly, from an Operational side of things – as is my job – I was puzzled. Had Dan not fully explained what we do or had he missed out key elements of our system? Unlikely. Dan has been with us for 3 years and he is dedicated to understanding the client’s needs and matching them with what the system can offer.
So, the client asking the question ‘what does the cost of a Private Practice Management system cover?’, must require a different answer to the obvious response of ‘look at all these features’ answer.
After taking my corporate head off and replacing with a client’s head – very Worzel Gummidge of me – I started to pen this article with the answer. Well, my answer anyway.
A Private Practice Management system (PPM) when used correctly can keep your office running smoothly. Automating and speeding up processes which normally impact the client’s administration team.
A good PPM system offers tools to support staff productivity allowing for less time spent on invoicing and chasing payments and more on patient appreciation allowing for better communications and a genuine interest in their welfare which promotes a better all-round experience with the likelihood (where appropriate) of repeat business.
A good system will be Cloud-based not hosted on-site. Taking away the need to do manual and daily backups of data and giving Users the ability to work from anywhere with a Wi-Fi signal. Cloud-based solutions and all that involves, support homeworking and multiple clinics wherever clinical teams may be situated.
No need for paper records. Scan and save relevant information to the Cloud. Now consider the amount of data your practice alone will need to be stored in your clinic’s lifetime. Clinicians, Medical Secretarial Groups and Medical PA’s can store thousands of pieces of information for just one patient.
Larger practices or those looking to grow will need to allow multiple access to colleagues on a regular, hour-by-hour basis and data storage will need to be scalable, secure, and compliant. A good PPM company invests in their infrastructure to allow for all eventualities.
Private Practice Management systems shouldn’t be just about the software either: What if you need help with a task or require additional support? You need a responsive team of people able to answer your call or email quickly and efficiently. You need to know that an effective knowledgeable team working to a 30minute SLA is on hand. Without this level of support, you and your teams progress will slow down.
This is surely part of the overall answer.
Apart from listing all that MidexPRO has to offer by way of features and integrations, the answer to the question may also need to be reverse-engineered: What it doesn’t cost you.

Investing in Cyber Essentials and registering with the NHS Data Security Protection Toolkit which opens the software up for independent audits for security, takes that burden away from our clients and gives them confidence to continue striving forward in their own field of expertise.

PPM systems are an insurance against all that could go wrong and an assurance that we are invested in your future success.
